Retreat Terms & Participant Agreement

Please read this agreement carefully before registering for the 2027 Mindful Glow Retreat. By submitting your registration and payment, you acknowledge that you have read, understood, and agree to the following terms and conditions.

1. Registration & Payment

Registration is considered complete once the required deposit has been received and your retreat application (if applicable) has been approved.

The participant agrees to pay all retreat fees according to the payment plan selected at registration. If a payment plan is chosen, automatic payments will be processed on the agreed-upon dates using the payment method provided.

Failure to make payments as scheduled may result in loss of retreat privileges and forfeiture of amounts already paid.

2. Cancellation & Refund Policy

The initial deposit is non-refundable and non-transferable.

By registering for the retreat, you agree to complete all payments according to the selected payment plan.

Because retreat planning requires advance commitments for accommodations, meals, facilitators, supplies, and venue expenses, all payments are generally non-refundable.

Requests will be reviewed on a case-by-case basis. Refunds, credits, transfers, or replacement participant arrangements are not guaranteed and remain at the sole discretion of Glow Coach LLC.

Participants are strongly encouraged to purchase travel insurance to protect their investment.

3. Participant Responsibility

Participants are responsible for:

Arranging their own transportation unless otherwise specified.
Arriving on time for retreat activities.
Informing retreat organizers of any dietary restrictions, allergies, accessibility needs, or medical concerns prior to the retreat.
Maintaining respectful behavior toward other participants, facilitators, staff, and venue personnel.

The retreat organizer reserves the right to remove any participant whose behavior is disruptive, threatening, unsafe, or negatively impacts the retreat experience of others. No refund will be provided in such cases.

4. Health & Wellness Disclaimer

The Mindful Glow Retreat is designed for educational, personal development, wellness, and spiritual growth purposes only.

The retreat is not intended to diagnose, treat, cure, or prevent any medical, psychological, or mental health condition.

Participants acknowledge that:

They are voluntarily participating in retreat activities.
They are responsible for their own physical, emotional, mental, and spiritual well-being.
They should consult with a licensed healthcare professional regarding any medical concerns before attending.

If a participant has a physical limitation, injury, medical condition, pregnancy, or other concern that could affect participation, they agree to notify retreat organizers in advance.

Participants may choose to refrain from any activity that does not feel appropriate for them.

5. Assumption of Risk

Participants understand that retreat activities may include:

Walking or outdoor activities
Movement exercises
Somatic practices
Meditation
Breathwork
Group discussions
Creative exercises
Fire ceremonies
Wellness experiences
Optional recreational activities

Participants voluntarily assume all risks associated with participation and accept full responsibility for their own safety and well-being.

6. Release of Liability

To the fullest extent permitted by law, participants release and hold harmless:

Tracy Kyler
Retreat facilitators, guest presenters, contractors, volunteers, venue owners, and staff

from any and all claims, damages, injuries, losses, expenses, or liabilities arising from participation in the retreat, including but not limited to personal injury, illness, property loss, travel disruptions, or unforeseen events.

7. Travel & Force Majeure

Glow Coach LLC shall not be responsible for cancellations, delays, interruptions, or changes resulting from circumstances beyond its reasonable control, including but not limited to:

Severe weather
Natural disasters
Government restrictions
Public health emergencies
Venue closures
Transportation disruptions
Acts of God

If the retreat must be postponed or rescheduled due to such circumstances, participants may be offered a transfer of their registration to a future retreat date. Cash refunds may not be available.

8. Photography & Media Release

The retreat may be photographed, video recorded, or otherwise documented for educational, promotional, marketing, and social media purposes.

By attending, participants grant Glow Coach LLC permission to use photographs, video footage, audio recordings, testimonials, and comments that may include their likeness without compensation.

Participants who do not wish to appear in promotional materials must notify Tracy Kyler in writing prior to the retreat.

9. Confidentiality & Respect

Participants agree to maintain the confidentiality of personal stories, experiences, and information shared by fellow attendees during the retreat.

Creating a safe, supportive, and respectful environment is essential to the retreat experience. Participants agree to honor the privacy and dignity of others.

10. No Guarantees

While the Mindful Glow Retreat is designed to support personal growth, healing, awareness, and transformation, individual results will vary.

Glow Coach LLC and Tracy Kyler make no guarantees regarding specific outcomes, financial results, personal breakthroughs, healing outcomes, business success, or life changes resulting from participation.

11. Agreement

By registering for the 2027 Mindful Glow Retreat, I acknowledge that:

✓ I voluntarily agree to participate.

✓ I accept responsibility for my own well-being and decisions.

✓ I agree to the cancellation and refund policy.

✓ I release Glow Coach LLC and its representatives from liability as outlined above.

✓ I understand that retreat participation is voluntary and that results cannot be guaranteed.
